Accounts Payables Administrator Print
Ensure the timely approval and payment of invoices and debt owed by Equal Exchange. Assist Equal Exchange and Finance/Administration in the accurate reporting of inventory costs and inventory levels.
Status: Full-time member of the Finance/Administration Team
Reports to: Finance Manager

Qualifications:
  • Attention to detail
  • Previous experience in bookkeeping preferred
  • Some computer experience; Great Plains experience a plus
  • Friendly phone manner
  • An interest in fair trade and the mission of Equal Exchange
  • Time management skills are critical
  • Team player
  • Problem-solver
  • Ability to learn from others
  • Ability to work independently
  • Experience working in and with cooperative businesses preferred

Responsibilities:
Accounts Payable:
  • Process invoices using POP/Dynamics and manual entry processes
  • Create cash requirement reports
  • Run edit list for approval by Director of Finance
  • Generate checks for signature; process, mail and file same
  • Research vendor inquiries as to outstanding balances
  • Record monthly transactions for Company credit-card holders
  • Post inter-departmental transactions
  • File electronic reports to various state tax agencies
  • Monitor transfers of equipment for customer use

Debt Management:
  • Maintain master worksheet for debt repayment, keep current at all times
  • Ensure timely payments on a monthly basis
  • Notify Capital Coordinator of any upcoming notes due

Fair Trade & Worker Ownership Development:
  • Participate in staff, department and educational (Exchange Time) Meetings
  • Understand our producer partners and trading policies
  • Understand and participate effectively in our worker-owner cooperative model
  • Assist the producer relations coordinator and producers through the pre-financing process.
