Disciples of Christ Coffee Project Fundraising Forms |
 These forms are to support you and your group to fundraise using Equal Exchange's fairly traded products, as ordered through the Interfaith Program. Download by clicking on the names of the forms, or download them in one packet here.
1. Fundraiser Order Forms:
Choose one of these forms for each fundraiser to use to take individual orders. The first three have pre-selected coffee, chocolate, and tea products. To choose other combinations of products to sell, fill in and use the blank form instead. Check availability of products before fundraising and placing order. Everyone in your group should use the same form. After orders are taken, fundraisers can turn in forms to coordinator for safekeeping, and they can be re-distributed once products arrive.
Prices on all forms are left blank so your group can decide how much it wants to charge for the products. For pricing suggestions, please see page three of our Basic Fundraising Packet. Each person fundraising should also use the same pricing.
2. Fundraiser Product Tally Sheet:
This optional sheet can be used for those who are doing the fundraising to do some of the tally work for the coordinator and to double-check that they are pricing items correctly. They can calculate the information from the Fundraiser Order Forms onto this page, then hand it in to the coordinator by a set date.
3. Order Tally Sheet:
The coordinator tallies all the fundraisers orders onto this sheet and determines how many cases of each product to purchase from Equal Exchange’s Interfaith Program. If you have more than twenty people fundraising, you can use another form to continue tallying. After the coordinator determines the number of cases of each product that will be needed, they can order from Equal Exchange on our Interfaith Program webstore, call 774.776.7366 or mail or fax us an Order Form (see here).
Please note: This Order Tally Sheet is not to be sent to Equal Exchange as an order - it is for the coordinator's use only.
Tips:
• If there are extra products after the coordinator rounds up products to the nearest case, the group can use or sell the extra products at a later time, or give out the extras to the fundraisers through a drawing. Or they can approach a person who ordered one or two items to ask them if they would be willing to switch to another item to even out the cases.
• The forms are structured to fundraise with ten products. If you do not think your group can sell ten cases worth of products, you can fundraise with less than ten products by using the Blank Order Form.
• It's a good idea to ask customers for payment when they place the order to be sure that the money is received.
• Set a specific date for when the money and orders are to be given to the coordinator. Set a date to hand out products so those placing orders with fundraisers can know when to expect their products.
